What we collect, what we do with it, and what you can ask us.

Axis Visa LTD (Company No. 15704239) is the data controller for the information you share with us. We are subject to the UK Data Protection Act 2018 and the GDPR principles.

1. What we collect.

To prepare and submit a visa application on your behalf, we collect:

  • Identity and passport details (name, date of birth, passport number, expiry, nationality).
  • Contact details (email, phone, residential address).
  • Travel and visa history relevant to the application.
  • Supporting evidence (bookings, employment letters, financial documents) that you choose to provide.
  • Payment information, which is processed by Stripe under their own privacy terms. We do not store full card numbers.

2. What we do with it.

We use the information you provide to prepare and submit the visa or travel authorisation application you have asked us to support, to communicate with you about it, and to meet our legal obligations. We share application information only where needed to provide the service you requested, operate the website, process payments, maintain records, protect the service, or meet legal obligations. This may include issuing authorities such as consulates, embassies, visa centres or government departments, Stripe for payment processing, and trusted service providers who help us host, secure, communicate about, and manage applications. We do not sell your personal information.

Our website also provides a live chat, powered by Tidio, a third-party provider. If you choose to message us through it, your message and basic technical details are processed by Tidio under its own privacy terms so that we can reply; the chat does not receive your visa application answers. Separately from your application, and only with your consent, our website uses analytics (Google Analytics 4), and stores first-party campaign information, to understand how the site is used and which campaigns bring visitors to us. We use no advertising pixels. Analytics does not run until you choose, and it never receives your application answers or personal details. 3. Where it is stored.

Your information is stored on secure systems used by Axis Visa. Access is restricted to authorised Axis Visa staff and service providers who need it to support your application, operate the service, or meet legal obligations. We do not store it for longer than your application requires.

4. How long we keep it.

After your application is concluded:

  • Supporting documents are deleted within 30 days unless you ask us to retain them.
  • Application records are retained for 6 years for accounting, tax and legal compliance, then deleted.
  • You can request earlier deletion at any time, subject to our legal record-keeping obligations.

5. Your rights.

You have the right to:

  • Access the information we hold about you (a subject access request).
  • Correct information that is inaccurate or incomplete.
  • Request deletion of information we no longer need.
  • Withdraw consent at any time.
  • Complain to the Information Commissioner's Office (ICO) at ico.org.uk.

We aim to respond to data requests promptly and within the timeframes required by law. Your information remains your information. Axis Visa is responsible for handling it carefully while it is in our care.
